Printer Settings are Not Saving in Quickbooks Desktop

We recently replaced out printer in our small office. Printer has four trays, so Tray 4 is dedicated to check stock. I also recently had to install additional updates to Quickbooks, and I'm not sure if that's relevant.

 

If I go to File>Printer Setup and choose the "Check/Paycheck" dropdown I can go to the printer Options and manually select Tray 4. I can then go to the Align option and set the vertical offset so that it's correct. If click OK until all those menus close, and then immediately reopen them all of the settings that I just changed have changed back to their defaults, so the checks are automatically trying to print on plain paper and misaligned.

 

I have noticed with testing that if I make those changes and DONT reopen that menu that they seem to stay saved if I have the company file open, so the checks will print correctly. However, if I close the program and reopen it all the settings are gone again and the checks will print on paper from Tray 1. I can change the tray in the print dialogue every time, but there's no alignment option in the print dialogue, so I have to log into another menu to change all that and then go back to the print dialogue to finish printing.

 

I have spoken with Quickbooks support, and (as usual) they were entirely unhelpful. I was told by Clifford that the Printer Setup does not save the settings and that they will always revert to the Default settings and that I need to make the setting changes every time I need to print.

 

Which is not only ridiculous, but also can't possibly be correct unless this was changed in the last update and I haven't noticed for a week or so. Last week (albeit on a different printer) I was not having this issue and I've been able to print checks correctly without jumping through additional hoops for something like 5 years now.

 

I've searched articles and found similar posts with no solutions. I've tried to make setting changes on local machines. Tried logged in as Admin in Single User Mode. Tried to do the print/pdf repair in ToolHub. I haven't reinstalled QB yet, but mainly because manually doing this is probably going to consume less time than that. We're due for renewal in a couple months and the list of reasons to leave QB is already quite long, so the problem will at least be short lived if there is no solution.

 

Is there somewhere else that I'm supposed to be changing these settings, or is there some other way that I should be going about this? I've asked Quickbooks support and they were happy to ask me questions about my company for 15 minutes, but offered pretty much zero support beyond that, so hopefully someone in the community is better at their job than they are.

First, download the Tool Hub and troubleshoot PDF and print problems with Quickbooks Desktop. Here's how:

 

  1. Close QuickBooks.
  2. Download the most recent version (1.6.0.3) of the QuickBooks Tool Hub. Then, open the file you downloaded (QuickBooksToolHub.exe).
  3. To install and accept the terms and conditions, follow the on-screen instructions.
  4. Double-click the icon on your Windows desktop to launch the tool hub after the installation is complete.

 

Once done, run the QuickBooks PDF & Print Repair Tool. Please follow the steps below:

 

Step 1: Restart your computer

Restart the machine and try again. If this does not resolve the problem, reset the permissions on your temp folder.

Step 2: Reset your temp folder permissions

  1. To open the RUN command, press Windows + R.
  2. Type %TEMP% and press Enter.
  3. Right-click an empty area of the temp folder, and select Properties.
  4. Select Security.
  5. Ensure that all security user names and groups have Full Control.
  6. Once the permissions have been set to Full Control, save as a PDF again in QuickBooks.

 

Second, hold down the Shift key while selecting File and Printer Setup.

 

Then, Reset the default printer in Windows.

 

  1. Select Settings (or Control Panel) > Printers and Faxes from the Start menu.
  2. Right-click a working printer in the Printers and Faxes dialog window.
  3. Select Set as Default Printer. Close the Windows Printer and Faxes window.
  4. To verify the changes, launch QuickBooks and navigate to the Printer Setup window.
