Hi,

I have a client with 2 businesses, one is his law firm and the other is a rental property.  He has two different QB 2021 Desktop Pro licenses, one for each business.  I would like to upgrade him to QB 2024.  The law firm need to sign up for QB Merchant Services in order to take credit card payments.  The rental property doesn't need that feature.

Can we buy 1 QB Pro 2024 Desktop Pro license and put it on two computers, and have the law firm sign up for merchant services payments but have the rental property pay for the subscription to upgrade?

Thanks!  Patti B

You can purchase an Enterprise license to continue using the Desktop version, @PattiB2021. Let me guide you with the upgrade process.

Before we proceed, please note that we no longer offer Pro and Premier subscriptions for QBDT. With the Enterprise plan, you have the option to set up multiple companies in a single subscription or license. This means you can have the rental company pay for the upgrade and use the same license for both companies. Additionally, you are able to install it on two different computers.

To ensure that no data is lost during the transition, create a backup of your business record before proceeding to the Enterprise plan. Here's how to do it:

  1. Open your QuickBooks Desktop, then select Upgrade Now.
  2. Click Let's go. QuickBooks downloads, installs, and activates the new version for you.
  3. When the upgrade finishes, select Open QuickBooks.

Once everything is finalized, begin establishing a company file for both businesses under one subscription.

Hi Ariell,

Thanks for the explanation. It sounds like even though I still have my own 2024 Desktop Pro subscription, you are no longer taking new subscriptions? If I upgrade my clients QB to Enterprise and put it on two different computers, can the law firm take credit card payments through their invoices? We don't need the merchant service for the rental, only the law firm.

Thanks for clarifying!  Patti B

Yes, PattiB, you're right. We no longer offer new subscriptions for QuickBooks Desktop Pro versions.

When you switch to QuickBooks Enterprise, you can add payment processing separately for each business or each company file rather than for every QuickBooks license. Since you mentioned that your rental business doesn’t require merchant services, you can enable credit card processing only for the law firm’s company file.

First, we can sign up for QuickBooks Payments for the law firm’s company file.

Once approved, we can link it to your company file in QuickBooks Desktop. Here’s how to do that:

  1. Open QuickBooks Desktop and go to the Customers menu.
  2. Select Link Payment Service to Company File. If a message about credit card protection appears, complete the fields and click OK.
  3. Enter the user ID and password you used for QuickBooks Payments, then click Sign In.
  4. Click Connect. If switching your payments account to a different company file, click Transfer and then Yes, transfer.

For more information, refer to this article: Connect your payments account.

Furthermore, you can visit this link to learn how to create an invoice with the payment link using QuickBooks Desktop: Create an invoice and turn on online payments.

I hope this clarifies your concerns and helps you make an informed decision regarding your client’s upgrade. Please feel free to reach out if you have any further questions or need additional assistance. We are here to help.
