QB Desktop won't let me delete a vendor but I don't see any transactions.

Previous person would create several different names for the same person and would also create a vendor for employees if they got an advance, etc. rather than adding to their payroll. I'm trying to delete some of these vendors and it's saying I can't delete bc it has a balance or is used in a transaction, but when I do a quickreport, nothing shows up.

Let me help and make sure you can delete some of your vendors.

 

Have you changed the period in the vendor's Quick Report? I just replicated and pulled up a quick report for a vendor on my end. It is possible that the date/period pulled up in your report is the current year. Which explains why it doesn't show any transactions.

 

If there are still no transactions in your vendor's quick report, I suggest running the Verify and Rebuild Tools. This scans your company's files for issues and automatically resolves them.

 

To Verify:

 

  1. Go to the Window menu in your QuickBooks Desktop (QBDT).
  2. Select Close All.
  3. Then go to the File menu.
  4. Select Utilities.
  5. Click Verify Data.

 

To Rebuild:

 

  1. Go to the File menu.
  2. Select Utilities.
  3. Click Rebuild Data.

 

Once done, rerun the quick report. If it shows all the vendor transactions, you can remove them manually to delete the vendor from your lists. Check out this link for more information: Change vendor, customer or employee name type.

 

Also, QuickBooks won't allow you to add a vendor and employee with the same name. The only way to add a customer, who is also a supplier or an employee, is by adding a special character or any distinction.
