Question

QB Online Sales Orders

I tried a demo of QB Online a few months ago.  Couldn't make the switch due to the Sales Order functionality.  In QB desktop, sales orders are used to enter customer orders to build invoices for full or partial amounts (to show backorders) and also build purchase orders.  The QB Online sales orders did not work like that when I tried it.  It made no sense to me to have sales orders if they don't work how they should.  Just wondering if the online version has been fixed yet?  Or if it will be fixed?  Thanks

I appreciate you reaching out with your concern regarding sales orders in QuickBooks Online (QBO), @kbiz123. Although QBO doesn't support converting invoices from sales orders for full or partial payments, you can use estimates as an alternative to manage upfront payments. I'll walk you through the process.

I recognize the significance of having features that align with your business requirements. However, QuickBooks Online processes sales orders differently than the desktop version and may not fully meet your needs this time. Providing feedback to our product engineers could be beneficial.

  1. Sign in to your QBO account.
  2. Go to the Settings icon.
  3. Select Feedback.
  4. Enter your product recommendations.
  5. Click Next to submit.

You can track your requests through this article: Customer Feedback for QBO.

As a workaround, you can generate an Estimate to have the option to make partial invoices. Make sure you turn on the progress invoicing before following the steps below.

Here's how it works:

  1. Navigate to + New, then select Estimates.
  2. Click the dropdown next to Add customer, then select your customer.
  3. Fill out the necessary fields in the Product or service section.
  4. Click Save.

By using Estimates, you can maintain control over invoicing, even with partial deliveries or staggered fulfillment of services or products. You can create an invoice for only part of the estimate, you can select the option to enter a percentage of each line or the option to enter a custom amount.
