Question

QB sending invoices to email addresses that do not exist in client profile

I am constantly updating client email addresses (building managers change often), and lately, when sending invoices, the system will revert to old client emails that have been deleted from QB entirely. How do I purge these old emails? Clients are getting annoyed with constantly telling me so-and-so doesn't work here anymore.

Good afternoon, @JM215

Welcome to the Community!

Let's clarify a few things before going forward:

  • Are you using the same company file on the same file path each time?
  • Do all users see the deleted emails? If not, is it only the admin user seeing them?

Let's try using the Verify and Rebuild tool to help resolve the issue or narrow down the cause:

Verify

  1. Go to Window then select Close All.
  2. Go to File, then tap Utilities.
  3. Choose Verify Data.

Rebuild

  1. Go to File, Utilities, and then select Rebuild Data.
  2. QuickBooks will ask to make a backup before it rebuilds your company file. Tap OK. A backup is required before you can rebuild.
  3. Pick where you want to save your backup, then OK. Don’t replace another backup file. Enter a new name in File name and click Save.
  4. Press OK when you get the message Rebuild has completed.

We want to ensure that you get this taken care of as soon as possible. I'll be waiting for your response!
