Hello, I use Quickbooks 2019 for Mac version V.18.0.12.R13. For the past two years, I have been downloading the file and exporting to Quickbooks for Windows for my bookkeeper who uses Desktop Pro Plus 2023 for Windows 11. All of a sudden, she can't open my files and is getting the error message, your subscription has expired with a button to renew subscription. I don't get that error message. Anyone have a clue what we can do. She called QB support and was on for an hour with no solution.  Thank you.

Let's ensure your bookkeeper can access your company file in QuickBooks Desktop (QBDT) for Windows, bb505.

If a prompt shows that the QuickBooks Desktop subscription has lapsed or expired, we can update the billing information within the Customer Account Management (CAMPs) portal. It's to make sure your bookkeeper account is active.

You can share these steps below to reactivate the subscription:

  1. Sign in to the Customer Account Management Portal (CAMPs) as an admin user.
  2. Choose QuickBooks Desktop from your products and services.
  3. Select details next to your QuickBooks Product.
  4. Click Edit beside your Payment Method
  5. Update your payment info and then click Save and Close.
  6. Open QuickBooks Desktop.
  7. Let's proceed to the Help menu and hover over Manage My License.
  8. Lastly, choose Sync License Data Online.

If the subscription is active, the problem could be in your file. Please note that it's required to have an active subscription to move the QuickBooks Mac data to the Windows version. Since 2019 is no longer supported, we can use the auto-backup file from your Mac. However, you need a conversion service that allows you to send your books. A third-party application can help you convert it into a format compatible with QuickBooks Windows.

You can visit our QuickBooks Desktop app center to check out a supported third-party application. Here are the steps on how to do it:

  1. Go to Apps for QuickBooks Desktop.
  2. From the QuickBooks Compatibility section, choose the QuickBooks Desktop version you're using.
  3. Type in the clue word of the specific app you're looking for.
  4. Click the magnifying glass to search.

Let me know if you have other questions in the comment below, I want to ensure your bookkeeper can successfully access the data. Take care!

@bb505

You said that you have sent backup files for the last 2 years to your bookkeeper and she is using QBD 2023 which was only released last year. Did you change your bookkeeper?

Your bookkeeper must also use QB Desktop 2019 to restore your backup files. He can use the trial version of QBD 2019 US Pro to do so and needs a workaround to continue using it for good.
