Saving Company Information from 2014-2024

I am closing down my business but would like to maintain all of my Quickbook records, without maintaining my on-line Quickbooks account.  What is the best process to be able to back my company for the past 10 years, and have access to the entirety of the file?  Can I save them locally or export them?

Yes, you can export your company file locally. While third-party apps are also an alternative for maintaining your records, saving them locally is often the best choice to avoid additional costs, ensure easy access, and sharing. I’ll provide more details below.

 

You can export your reports and lists to an Excel file as a single .zip and save it on your computer. This allows you to save information from posting transactions that affect your account balances, such as invoices, receipts, and bills. Let me guide you through the step-by-step process:

 

  1. Go to Settings, and in the TOOLS column, hit Export data.

  2. Choose It's a backup for the reason for exporting, then select Continue.
  3. From the Reports tab, set the date from the Pre-selected date ranges dropdown menu.
  4. Add or remove items from the Reports and Lists tabs by turning the switch on or off.
  5. Click Export to Excel, then OK.

Alternatively, you may use third-party apps to back up your data in QuickBooks Online. To do this, navigate to the left navigation panel and choose the Apps menu. From there, you can find various software to back up your company data.


Moreover, after canceling your QuickBooks Online (QBO) subscription, you'll retain one year of read-only access to your account. This allows you to view and download your data, depending on data availability and the export policies in effect following the cancellation.

You can convert your data to QB Desktop and use the trial version to access your archive file for good.
