Question

Two Charts of Accounts show up in main company

We have two separate companies.  In the main company, the two charts of accounts show up when accessing the main chart of accounts.  When categorizing an expense in the main company, the expense accounts for the two companies show up.

Fortunately one company uses a 5-digit chart of accounts number and the other is a 4-digit account.

This is very annoying and distracting.  Does anyone else have this issue, and is there a solution?

Many thanks,
Ginny

Hi there, Ginny.

Thank you for sharing your concern regarding the visibility of both company charts of accounts when categorizing expenses in QuickBooks Online (QBO). I can understand how having accounts from multiple companies appear together can be distracting when trying to manage expenses.

This situation often arises when both companies are set up under the same QBO account, leading to overlapping charts of accounts. While the account numbers help differentiate between the two, it can still create confusion in your workflow.

To fix this, we'll need to troubleshoot your browser and clear any temporary files causing this malfunction. Too many temporary files can cause a browser to provide incorrect data from your other company, resulting in the combination of your expense account showing in your two QBO companies.

Let's start with accessing QuickBooks Online using incognito mode or a private window. Here are the shortcut keys to go private mode in a browser:

For Google Chrome / Microsoft Edge / Opera:

  • Windows: Ctrl + Shift + N
  • Mac: Command ⌘ + Shift + N

For Firefox:

  • Windows: Ctrl + Shift + P
  • Mac: Command ⌘ + Shift + P

For Safari:

  • Shift + Command ⌘ + N

If this works, you can clear your browser's cache and cookies to clear temporary files running in your browser that have caused the malfunctions. Otherwise, you can use other supported browsers to ensure it runs QBO efficiently.

You can also contact our QuickBooks Online live support if the issue persists. They can investigate your account further to determine what change caused this issue and reverse it.

Additionally, you can also set up users to manage your companies in QuickBooks Online.

If you have any further questions, feel free to reach out. I'll be more than happy to assist.
