Is there a way to create a vendor group in QuickBooks Online Advanced so I can restrict access to these vendors to only certain roles in my company?

Let's utilize custom fields to group vendors together. Here's how:

 

  1. Click the Gear icon. Then, select Custom fields under Lists.
  2. Press the Add field button.
  3. Enter the following details:
    • Name: Vendor Group
    • Date type: Dropdown list
  4. Then, enter as many groups as you want by clicking on Add item.
  5. Choose Vendor in the category section.
  6. Tick the forms where you want to apply the groups.
  7. Hit Save.

 

Additionally, to limit your vendors' access to specific roles, you must include them as users in your company and assign a role to each of them. When creating a new role, you have the choice to:

 

  • Create a new role and choose what the role can access.
  • Choose a predefined custom role, like Sales Manager or Expense Manager.
  • Choose from the list of QuickBooks roles, like Company admin or Time tracking only.

 

If the pre-existing roles don't meet your exact needs, you can easily generate a customized role. Here's a simple guide to help you:

 

  1. Go to Settings, then select Manage users.
  2. Select the Roles tab, then select Add role.
  3. Enter a Role name and Role description.
  4. Select what the user role can access in QuickBooks, then select Save Role.
