During migration from paycom to QBO I had an employee who completed working for me in 2023, but his paycheck was received in 2024.  I am locked out of Paycom so I cannot retrieve his profile info.  I am in contact with him and I do have his SSN & an old mailing address.  He will not provide DOB, current mailing address, and another form of ID like TDL and exp date. It seem s QBO PTO will not proceed without his information.  What can I do?  I have many employees waiting on their corrected 2024 W2.

Before anything else, may I ask about the QBO PTO page? Any additional info or screenshots provided would be much appreciated, as this will enable us to deliver you with the appropriate solution.

 

Also, does QuickBooks ask for the employee's personal information during the migration process? If yes, I suggest contacting the Paycom or QuickBooks phone support team to check if they have the tools or an alternative option to bypass the employee's info.

 

In the meantime, please be aware that QuickBooks offers a feature enabling you to enter your pay history for the year 2023. However, this can only be done if you haven't processed payroll in the system.

 

To begin with, let's prepare your pay history info first:

 

  • Employee pay stubs or payroll reports with year-to-date amounts. The stubs or reports should show each pay item, deduction, tax, and net pay. 
  • If you’re starting with us in the 2nd, 3rd, or 4th quarter: employee pay stubs or payroll reports dated on or before the last day of the closed quarter.
    • Quarter 1: January 1 - March 31
    • Quarter 2: April 1 - June 30
    • Quarter 3: July 1 - September 30
    • Quarter 4: October 1 - December 31

 

After adding all of your employees to the system, you can proceed with Step 3 and Step 4 in this article: Add pay history to QuickBooks Online Payroll.
