I need help understanding Warehouse Manager and the Purchase Order fulfillment and management worksheets in QB Desktop. I would like to say that our company doesn't use inventory in QB and we purchase most items to do a job in the field.

However, we need more control in the warehouse - notification of items received, notes on order issues, etc.

I would like to understand how they all work together and how best our company can utilize them. Please help!

Hello there, ascontenta.

Let me share some insights about purchase order management and warehouse managers.

A purchase order management helps you identify what purchase order is being received. It also keeps track of your purchase order by site, status, or vendor.
A warehouse manager integrates smoothly with QuickBooks Enterprise Advanced Inventory. It helps you receive items from the purchase orders.

I've also included these articles that will help you to use purchase order management and warehouse manager.

Let me know if you have additional questions in managing purchase orders. I'm one post away. Have a good one!

Hello, your reply looks as though you didn't read my question.

I don't need an explanation of why purchase orders are useful, I know what purchase orders are and how to use them.

My request was:

I need help understanding Warehouse Manager and the Purchase Order fulfillment and management worksheets in QB Desktop.

...we need more control in the warehouse - notification of items received, notes on order issues, etc.

I would like to UNDERSTAND HOW THEY (Warehouse Manager, Purchase Order Fulfillment and Purchase Order Management) ALL WORK TOGETHER and how best our company can utilize them.

I would like to be contacted by someone who understands these functionalities and how they interrelate.

I DON'T need general articles that tell you what to select in Preferences. Not helpful.

Thanks for posting here again, @ascontenta,

Joining the thread to share some insights about the Warehouse Manager and Purchase Order Management.

Warehouse management is part of the Advanced Inventory Management site operations. Its main use is to handle receipt management, purchase order receiving, pick or pack sales orders and mark shipments in QuickBooks seamlessly.

See this Purchase Order Receiving Workflow with Android App to learn more about the process:

  1. A QuickBooks user creates a Purchase Order in QB Desktop. Then this user goes to Purchase Order Management in QB Desktop and queues up the PO to either be a RECEIVED (they select which warehouse user is assigned to it or leave it unassigned).
  2. The Warehouse user opens the QB WM app on the Android phone, selects the PO to receive, and completes it by manually entering the amount and/or scan the barcodes of the product being received; also if serial numbers are enabled, they can scan the serial number or enter it by hand)
  3. A QuickBooks user sees the Purchase Orders as RECEIVED or PARTIALLY RECEIVED and created the item receipt or bill from within the Purchase Order Management Window

The Purchase Order (PO) Progress worksheet allows the warehouse manager to see what was received, as well as any notes related to a particular PO after the receiving agent has transmitted the information back to QuickBooks Enterprise. However, it can also be used manually without the WHM. See Use the Purchase Order Fulfillment worksheet.

You can also find recorded tutorials in YouTube on how Warehouse Manager works real time and how it relates to the Purchase Order Worksheet. Simply search for Complete Mobile Warehouse Workflow (QB Enterprise 2021) in the website.

Post here again if you need further information about this. I want to make sure you get the answers you need with the Warehouse Management before actually using it. I'll be right here if you need further help. Have a nice day!

Hello!

It sounds like you're looking to better manage your warehouse without using inventory in QuickBooks. Since you're already using Purchase Orders in QB, you can set up notifications when items are received by creating Custom Fields or adding Notes to each PO. This way, you can track order issues and received items more effectively.

For warehouse control, QuickBooks Desktop doesn't have a built-in warehouse management system, but you can use Warehouse 15 to streamline processes like receiving items, printing barcode labels, and syncing real-time data with QuickBooks.

For more info on Warehouse 15, check out Cleverence Warehouse 15.

Hope this helps!
