What happens in the GL when you void a bill payment?

I cut a check. I need to void the check and reissue it. What is the journal transactions in Quickbooks online for this?

When you void a bill payment, it increases A/P by re-opening the original vendor bill and increases the bank account from where the payment was issued.  If the bill payment is in the current period, you can void and re-issue the payment.   

 

If the bill payment is from a previously-closed period, then you don't want to delete it.  The best way to handle that situation is to create a deposit in the current period and assign A/P for that vendor to the deposit.  Then, issue a check and assign A/P for that vendor to the check.  Tie them together by going to New > Pay bills and apply the credit created by the newly-issued check to the "bill" created by the deposit.  Finally, the next time you reconcile your bank account, clear the deposit against the newly-issued payment.

When you void a bill payment in QuickBooks Online, the transaction amount becomes zero, but the record stays in QuickBooks, and the bill reverts to being unpaid.


To void the check, here's how:

 

  1. Go to the Gear icon.
  2. Select Chart of Accounts.
  3. Search the name of the transaction you want to void.
  4. Click View Register, then select the transaction.
  5. Find and click on More, and choose Void.
  6. A prompt message will appear, then click "Void Transaction" to confirm.

 

After voiding the transaction, issue a new check for the same amount to the same payee using the same account, and then print the new check. For guidance, refer to this article: Create and record checks in QuickBooks Online.
