Can't delete Credit Memos

I open a Credit Memo, select Delete, but then get an error message that says, "You need to delete this payment line item from the deposit before you can delete the transaction itself, or edit its name or amount."
So, I try to edit the transaction by changing everything to $0, or changing the deposit line to $0, but that generates the same error message.

So I tried Voiding it first, then Save, but get the same error message.

I found the Chart of Accounts>Undeposited Funds, but can't delete from there either. When I try, a box pops up that says, "This line is part of a transaction. Deleting it will remove the whole transaction. Are you sure?"  I click OK thinking that is exactly what I want it to do.  But that just brings up the original error message.

So I just can't delete the Credit Memo.   Any suggestions?

Oh how I wish that would work.

They are not in my bank account register. They are still in the Banking>Make Deposits list.

They are in the Undeposited Funds register, but I can't delete them there without getting the same  message that I need to "delete this payment line item from the deposit before you can delete the transaction itself."

I again tried to delete the "payment line" in the Credit Memos...but still get the same message. I have also deleted EVERY line in the Credit Memos and tried to save them that way.  Same message.  I again tried Voiding the Credit Memos which changes all the Amount to $0, but it won't let me Save without the same error message.  I tried Voiding then Deleting before Saving. Same message.

It seems like it should be so simple...to just delete a Credit Memo.  But the program won't let me do that.  I just can't delete those Memos and remove them from the Undeposited Register.

I hope you can stay with me to help me solve this.  If you want to set up a time to remote in to my computer, I will gladly let you see exactly what is happening.

Thanks for actively responding, @Divnick. I'll be your guide today.

I've checked our records and couldn't find any active related case about the error message you received when deleting the credit memo.

Getting an error or seeing unusual behavior can be fixed using the Verify and Rebuild tool. First off, let's ensure you update QuickBooks Desktop to the latest release. Here's how:

  1. Go to the Update to the Latest Release page.
  2. Select the correct product or click the Change link and select your QuickBooks product.
  3. Choose the Update button to download the update file.

Once done, click Setup Automatic Updates to set QuickBooks to automatically download and install the latest updates.

Then, follow the detailed steps to verify and rebuild your company file to resolve potential data damage.

If the issue persists, I'd recommend reaching out to our Customer Care team. They can help you check your account to see what's causing this to happen. They may also submit a case to investigate the issue when necessary.

Let me know if you need anything else. We're always here to attend to your needs.

Hi, Divnick.

I'm here to help you delete the credit memos in QuickBooks Online. To delete the transaction, you'll remove it first from the deposit account.

Here's how:

  1. Go to the Accounting menu, and then choose the Chart of Accounts.
  2. Choose the account you want to run, and then select View register. This will let you view all the sales receipts and payments connected to the deposit.
  3. From there, remove the checkmark from the payments you want to delete. This will remove the transactions from the deposit.
  4. Click Save.

Once done, you can now delete the credit memo using the following steps below:

  1. Go to the customers tab.
  2. Select Credit Memo.
  3. Choose the Delete icon to delete the credit memo and hit Ok.

I'm also adding here some resources that you can check out about managing sales transactions in QBO for future reference:

I'll be glad to help you again if you have more questions about deleting credit memos. Just add the details in the comment section.

Thank you, but I don't know what you mean by, "Choose the account you want to run."  I can get to Chart of Accounts, but the only places where I find the two Credit Memos is "Undeposited Funds" and "Accounts Receivable".  Neither have check boxes, and neither one lets me delete the Credit Memo.  When I try, I get the same error message that I have to "delete the payment line item from the deposit before you can delete the transaction."  That is the problem, I can't "delete it from the deposit". I don't know how to do that.   When I click on Banking>Make Deposits, it doesn't provide a way to delete from there.  So I went ahead and selected the two credit memos and clicked OK which created the deposit.  Then I tried to delete them from the deposit screen, and that brought up the same error message.

Thanks for following up with the Community, Divnick.

You can delete a deposit by selecting it, clicking Edit in your tool bar, then hitting Delete Deposit.

Afterwards, you can delete the credit memo.

Here's how:

  1. In your top menu bar, go to Customers.
  2. Choose Create Credit Memos/Refunds.
  3. Find the appropriate record.
  4. Click its Delete (X) button.
  5. Select Yes.

I've included a detailed resource about working with credit memos which may come in handy moving forward: Give your customer a credit or refund

I'll be here to help if there's any questions. Have a great day!
