Question

Credit card fees for the customer on the payment page

It would be nice if there was a spot on the payment window to add credit card service charges to the invoices without making an invoice.  We have a customer who pays with a credit card and we would like to add credit card fees to the total on the payment window.  That would be a nice feature.

I appreciate you sharing your brilliant insight with us, @mwmwrc. I'll be glad to share a workaround on how to add credit card charges to invoices in QuickBooks Desktop (QBDT).

In QBDT, you can create a service item for the credit card fees and add it as a line item to your invoices. To do that:

  1.  Go to Lists and click Item List.
  2. Select the Item dropdown, then New.
  3. For the Item Type, choose Service.
  4. Enter the Sales Price, and specify the income and expense accounts.
  5. Hit OK.

Once done, manually include the credit card charge as an additional line item when creating an invoice

We're aware of how the option to add credit card processing fees is essential to ensure accuracy in your cash flow. Since credit card surcharges are handled differently in each state, this feature is currently unavailable in QBDT.

While this option is inaccessible, I highly recommend sending our software engineers your valuable input. Doing so gives them the opportunity to review your suggestion and may consider applying it in our future product developments. To do that, go to Help, select Send Feedback Online, and click Product Suggestion.

Additionally, here's a guide if you need assistance refunding credit card payments in QBDT: Void or refund customer payments in QuickBooks Desktop

Your feedback is important to us to help improve your QBDT experience. Please don't hesitate to reach out back to us whenever you have any clarifications or follow-up concerns about entering credit card charges. The Community is here to lend a hand. Stay safe!

Yes I know about the work around.  But we never know when this customer is going to pay with credit cards.  So if I did the invoice in August and he wants to pay in September,  I cannot go back and change the invoice because August has been closed.  So that is why it would be nice to have it in the payment window.  Just a suggestion.

Yes exactly. We have the same issue. Some pay by CC some do not. We can not add an item to the invoice because those that chose not to use a CC then are upset.

We work with other payment processing companies and they have a simple feature that adds credit card fees to the amount due from the invoice. Some call it a service charge. It is simple and works well. Wish Intuit would add this simple feature.
