Question

How do I Insert a Payment Link in an Invoice

I'm gathering this isn't possible, which is kind of crazy (it's almost as though Intuit doesn't work on use cases with end users).

There are other dynamic fields in invoices, it doesn't make sense that one of the fields couldn't be a payment link.

Here's our use case:

We put PDFs of our invoices in a Microsoft Teams site and our end users receive an automatic notification that the invoice is ready, so we need the link in the invoice itself.

Hello, Aaron AV.

I can show you how to insert a payment link in an invoice.

Before doing that, we ensure that you have QuickBooks Payments account connected to your QuickBooks Desktop. This way, you can send a payment link in an invoice.

Here's how:

  1. Go to the Customers.
  2. Choose Payment Links.
  3. Enter the amount and description.
  4. Select an existing customer or add a new customer.
  5. Enter the customer email.
  6. Set the appropriate payment method (credit card or ACH).
  7. Hit Send Payment Link.

Once done, QuickBooks sends an email to your customer with the requested payment details and a pay button. You’ll also receive a confirmation email. For more information on how the payment link works, you can check this article: Payment links for QuickBooks Desktop.

Additionally, I've added this article that'll help you manage customer payments: Receive and process payments in QBDT.

Please leave a comment below if you have any follow-up questions about the invoice payment links. Have a good one.

Thanks for the response but this isn't what I'm asking.

I want all of my invoices - PDF and hard copy - to include the text of the payment link. In other words, the template for the invoice we use in Quickbooks should have a field for the payment link.

As I said, we don't use the email invoice function. We place the PDFs of invoices online for our clients, and we want them to be able to pay the invoice from there.

@Aaron AV

Consider having a 3rd party connector to do so.

YOU CAN DO IT.. i do this to 100% OF MY INVOICES... but it takes a few steps...

other applications do this automatically... Intuit should... it would make our life easier!

here is what you do:

create a graphic that says "click here to pay online"... i included a visa/Mastercard/Amex logo... save it to your desktop.

make your invoice in QBO and Download it.

BEFORE YOU CLOSE THIS WINDOW,  click "Get Link To this Invoice" (bottom of print preview page).  this will copy your link to your 'clipboard' for later use...

open the PDF Invoice in ADOBE ACROBAT (pro)...   select EDIT and ADD IMAGE... find the graphic you created, and import it.

once it shows up, move it to where you want it placed.

right click the image and select CREATE LINK...  select the OPEN WEBSITE LINK option (only have to select this the first time.. it will remember your choice)... select NEXT

Paste your Payment Link... select OK.

Save your PDF.

you now have a graphic that says CLICK TO PAY.. .and it is a link.

boom. done!

email me if you want to see the result, or want more help... [Removed]
