You need to signup for QB Payment or a 3rd party payment processor to integrate with QBO. Is your company located in the US or another country?

To add a payment link to QuickBooks Online, follow these steps:

  • Go to Sales > Payment Links.
  • Click New.
  • Enter a Description for the payment link. This is what your customer will see.
  • Select a Customer from the drop-down menu.
  • Enter the Amount that the customer owes.
  • Select a Payment Method.
  • Click Send.

You can then share the payment link with your customer via email, text message, or social media. When the customer clicks on the link, they will be taken to a secure payment page where they can enter their payment information.

Here are some additional tips for using payment links in QuickBooks Online:

  • You can create payment links for invoices, sales receipts, and estimates.
  • You can customize the appearance of your payment links by adding your company logo and branding.
  • You can track the status of your payment links in the Payment Links section of QuickBooks Online.
  • You can receive notifications when customers pay you through a payment link.

Payment links are a convenient and easy way to get paid by your customers. They are also a secure way to accept payments, as QuickBooks Online encrypts all customer data.

Welcome to the Community, Angie.

To add Payment links in QuickBooks Online, you need to have a QuickBooks Payments or Merchant Service account. The feature can be added to your invoice and sent via email or text. You can also choose to display the payment link as a QR code for customers to scan and pay through their mobile devices.

You can follow Chrissky676's instructions above to add a payment link within the program.

If you haven't signed up for QuickBooks Payments yet, you can refer to the steps below to set up a payment link and how to send it directly to your clients:

  1. Log in to your QuickBooks account and switch to Business View.
  2. Go to the Get Paid & Pay menu on the left navigation panel.
  3. Select Payment Links.
  4. Click Get Started and follow the onscreen instructions.
  5. Once done, choose Create my link to generate your payment link. You can customize the Payment link URL if need be.
  6. Enter the details.
  7. Click Send Payment Link.

You’ll receive an email confirmation when your customer receives and complete the procedure.

Once they're posted, you can match and categorize your transactions on the Banking page to make sure everything matches your statement. You can also create rules to automatically manage your entries.

After the customer pays the payment link how do I add it to an existing invoice? or is there an option to request only a portion of the invoice and not the total invoice.

Can anyone tell me how to create a display name (i.e. “Invoice ###”) for a QuickBooks payment link to insert in a Gmail message on an IPad??  I tried to create one in Pages, but when I copied/paste it reverts to the entire link in the Gmail.

I can help you create a hyperlink for QuickBooks Online (QBO) in Gmail on your iPad, @BWaitman

Currently, hyperlinks aren't supported on iPads. However, you can follow these alternative steps:

  1. Open the Gmail app on your iPad and start composing your email. Instead of typing the display name, type or paste the URL where you want the hyperlink to appear.
  2. Save your email as a Draft
  3. Go to Drafts and reopen your draft email. You'll notice that the link is now live (blue and underlined).
  4. Type the display name for your hyperlink anywhere inside the live link text.
  5. Delete all the blue underlined characters except for the display name.

In case you need to void or refund payments you process through QBO, you can visit this link for guidance: Void or refund customer payments in QuickBooks Online.

How do I change a category my payment in link is going to? I don’t see the option to choose ? And I can’t seem to be able to change the category on payments that were made through links?

Thanks for choosing QuickBooks Online (QBO) for tracking payments, @MelissaCatherine. I'm here to share some information about changing the category payment link

I know how important it is to change the category payment link. However, that option is unavailable in QBO. We can only change a category for a specific item. Here's how:

  1. Go to the Gear icon and then select Products and Services.
  2. Find the service item you want to change.
  3. Select Edit in the Action column.
  4. Click Change type.
  5. Choose Non-inventory/inventory.
  6. Once done, click on Save and Close.

For more details, please see this article: Change Product and Service Item Types in QuickBooks Online.

Also, I'd suggest reaching out to our QuickBooks Payments Team to check if they have an option to change the default. They can securely access your account and provide accurate steps.
