Invoices and accepting credit card payments

We are invoicing for a wedding.  The customer is paying by credit card.  We received their credit card payment which deducts the Square credit card fees.  How do we record this to keep records accurate?  We are not doing the credit card process through QB.

Hello there, @Rhonda0800. I've got here some steps to help you record the Square credit card fees in QuickBooks Online (QBO).

 

You can simply enter the credit card fees as a negative amount on the Bank Deposit page. To begin, let's use the Receive Payments feature to record your customer's payment and allocate it to the Undeposited funds account. Let me guide you on how:

 

  1. In your QBO account, select the + New button.
  2. Next, click Receive Payments and enter all the payment information.
  3. Check the box next to the invoice to which you would like the payment to be applied.
  4. Then, select Undeposited funds as the Deposit to account.
  5. When done, choose Save and close.

 

After that, create a bank deposit to record the fee. Refer to the steps below:

 

  1. Go back to the + New option.
  2. Next, choose Bank Deposits. You'll see the payment you entered in the Select Existing Payments section at the top.
  3. Check the box of payment you want to deposit.
  4. Then, in the Add other funds to this deposit section, enter the amount of the credit card fee as a negative amount.
  5. Select the Expense account you use in tracking bank fees, in the Account field.
  6. Ensure that the deposit amount is correct.
  7. Once finished, select Save and close.
