Matching refunds

I have received a payment in our bank from a customer who paid us in error, we refunded the payment back through the bank. How do I match the two transactions which are currently sitting in 'for review'

Hi, Beth. I'll lay down a few steps to handle these transactions in QuickBooks Online.

 

Matching a payment and a refund into a single bank transaction is unavailable since the refund has also been recorded. Instead, make a bank deposit for those payments and exclude the bank transactions. Please follow the steps below to do so.

 

To record a bank deposit, here's how:

 

  1. Click + New and choose Bank Deposit.
  2. Choose the account you want to put the money into from the Account ▼ dropdown.
  3. Tick the checkbox for each transaction you want to combine.
  4. Ensure the total of the selected transactions matches your deposit slip. Use your deposit slip as a reference.
  5. Hit Save and close or Save and new.

 

Then, follow these steps to exclude the transaction:

 

  1. Go to the Banking menu.
  2. Select the For Review tab.
  3. Put a checkmark on the transaction you want to exclude.
  4. Choose Exclude.

If the refund isn't recorded, match them using the Find match, then Resolve. I'll show you how:

 

  1. From the For Review tab, click the transaction to expand.
  2. Select the Find other matches.


     
  3. On the Match transaction page, put a checkmark on the payment to match.
  4. Hit the Resolve radio button.
  5. Fill out the DatePayeeCategory, and Amount.
  6. Once done, click Save.
