Mileage rate showing as $0 under invoice Time/Cost window.

I'm a new small business owner and QuickBooks user and I'm having issues with invoicing for mileage.  I've recorded the mileage, checked the box as "billable" and assigned it to a customer/job.  When I review the "Mileage by Vehicle Detail" report, the mileage rate (currently $0.625) and total expense shows up correctly.  However, when I got to add it to an invoice under the "Time/Costs" window, the mileage rate shows up as $0.00 - thus leaving me with $0 of billable expenses. 

 

I've searched online relentlessly for a solution but can't figure it out!

 

I'm currently using QuickBooks Mac Plus 2023.  Any help would be greatly appreciated!

Let me help check why the Mileage rate won't show up on the invoice. You can start by recording a new mileage, assign it to a Customer: Job, and make it billable.

 

Here's how:

 

  1. Go to the Company menu, then select Enter Mileage.
  2. From the vehicle dropdown, select the vehicle you use.
  3. Enter the dates of your travel time. If it’s only for a day, use the same date for both start and end dates.
  4. To calculate the total miles you drove, enter the starting and ending odometer settings.
  5. You can also fill out the optional fields:
    • Notes - You can enter notes you may have about the trip.
    • Assign to Customer: Job - You can select the checkbox if the trip is for a specific customer: job or item.
    • Billable - You can select the checkbox if you want to bill a customer for the mileage.
  6. Click OK to record mileage.

 

Once done, create an invoice to the Customer: Job. If the mileage rate appears, there's a possibility that the details from the old mileage is damage. 

 

You can repair the mileage data by running the Verify and Rebuild  tools. Check out this article for the details steps: Learn how to verify and rebuild your data in QuickBooks Desktop for Mac.


Once done, create again an invoice, then use the old mileage. If the rate won't show up, you may use the new mileage instead of the old one.
