Need to disable billable check marks on bills!

I am using QB Premier. If I create a Sales Order for parts x, y, and z. Those parts then need to be ordered from channel partner vendor so, from the sales order, I select "create purchase order" which will carry through the parts(or items) and quantity from the sales order to produce a purchase order that will go to the vendors. It also carries through the "customer" from the sales order which is paired with each item on the Purchase order. When I receive the parts from the vendor with an invoice and create the bill for that PO, all items from that PO have the "billable" box checked. I do not want this box checked. These are not billable to the customer except by the invoice created from the Sales Order. I have "unchecked" the preference to "mark all expenses as billable" but it appears that, because there is a customer paired with the item on the bill, that preference does not apply and the billable box is automatically checked! I spend a lot of time unchecking those boxes and it is incredibly frustrating! If I create a PO from outside the SO, all is well and the box is not checked. However, that isn't acceptable either because I have to enter all the items from the SO instead of QB populating the PO for me. How do I turn off the billable thing all together or get that box to default to unchecked even if the customer is present? We don't use it at all and want it to stop! Thanks in advance for any help!

Greetings, tsd81.

I'm here to provide some insight regarding this matter.

I've managed to replicate this on my end, and I got the same result. After some research, I discovered we don't currently have an option to disable the billable checkbox.

It's my priority that you're able to use QuickBooks seamlessly, so I'll be sending feedback based on this interaction. The updates and changes to QuickBooks are largely the results of feedback provided by users, just like yourself. That said, I'm making it my top priority to submit feedback to our engineers and make them understand the importance of an option to disable this.

In the meantime, I would recommend that you manually uncheck them for now when you create the bills. Please don't hesitate to let me know if there's anything else I can help you with. I'll be here to help you out.

Thank-you for looking into this! I was hoping for a solution but at least the feedback will be given and that might lead to a solution in the future. I appreciate the quickness in answering.

Just checking to see if any movement has been made on a solution to prevent everything assigned a customer on a PO to being "billable" by default.

It is unreasonable for us to remove the customer from the PO -- this is how we assign certain costs to jobs. I agree with everyone here, a simple "uncheck all" option on various screens would be a great addition/enhancement/bug fix/whatever you want to call it.

This is a very annoying BUG. But I'm not really surprised that it hasn't been fixed yet. I'll add it to the list of other bugs which QB refuses to fix.

I would also comment on this being a needed fix, 2 years this thread has been going on and still no fix. This is a major annoyance to have to manually remove the CUSTOMER:JOB or uncheck each box, individually.

We are not strangers to Quickbooks not fixing important bugs, but how many years and complaints does it literally take? Quickbooks loves adding new report features for the bean counters every update, but never fixes bugs or adds useful features that people ask for.

Is this solved?  Because I still need to uncheck this box every single time.  We never bill clients for expenses.

I'd like to join the conversation and help with your question about the billable expense feature, MickeyR.

Unchecking the billable box for multiple transactions is still not available in QuickBooks. We have taken note of all feedback and product suggestions from this thread.

In the meantime, you'll need to open each expense or time entry and uncheck the billable box.

If you're using QuickBooks for Mac, I'd like to share these additional user guides with you for more references:

We hope to see some changes in the future soon. You can also reach out to us again or reply to me if you have more QuickBooks-related inquiries.

How is this not resolved yet? This is something that has been brought to your attention for a few years now from what I can tell online,  and it is something that many companies like mine are having to deal. It drives me crazy that your tech's have not implemented an option to turn off the "billable check mark". Is this even something that they are working on? Are they even aware of the problem, and all the headaches and waisted time that it is causing? Please help us!!!!

Its funny how Intuit manages to update the program so it will NOT work with your payroll subscription every three years. Forcing us to purchase the newer version. Then when you get the newer version nothing else has even been upgraded or issues resolved. Its been years since this problem has been around. How many more new versions will we have to purchase before a fix is actually implemented?

Has this been fixed yet? How has it been this many years "submitting feedback" and it still hasn't worked.

This is silly, please fix it.

Hi Jerown13,

I know how unnecessary features affect your navigation when using QuickBooks Desktop. I'm here to share some information about the requested option.

The option to turn off the billable check marks on bills is still unavailable. Our engineers might be working to bring this feature over to this platform in the future.

As we assess this, I recommend affected users continue sending these requests directly to our product engineers. We continue to improve the features, and this option might be available in the future.

Here's how to submit feedback:

  1. Open QuickBooks Desktop.
  2. Click the Help tab at the top menu bar.
  3. Hover your cursor to Send Feedback Online, then select Product Suggestion or Help System Suggestion.

Also, did you know you can track the expenses for a job and compare those expenses to your revenue? I have a link here you can visit to learn more about the feature in QuickBooks Desktop: Track job costs in QuickBooks Desktop.

You're welcome to post about your QuickBooks concerns in this space. If you have additional questions about the features, let us know. We'll be here to lend a hand.

This is absolutely ridiculous. The first response for this fix was back in 2019. At that time the statement from QB was our engineers are working on it. I am not sure in what universe it should take an engineer 4 years to make a relatively simple fix. Is there an expectation for this to be completed and the "Billable" check to be not automatically checked. I understand that some people may want to use the Billable button, but there should be an option to turn it off for companies that do not use the feature.

I"m leaving QB after having been a customer since 1999. I remember paying the price and upgrading to premier just to have the capability to copy my sales orders to purchase orders and invoices, so I wouldn't have to input all the items over and over again. I would get the new QB version every couple of years. The price of QB going up exponentially each time and now we're being forced to subscribe for over $900 each year and we're locked out of using QB if we don't. I can't even downgrade my files to be used on a older version that's not the subscription model, and mind you I paid for those. I should be able to use them. I've been robbed.

And to boot, for over $900 a year, you can't add a simple "uncheck all" box for the billable costs column? You've had countless people asking for this simple feature for 5 years by my count on this thread alone. There are even more threads on this very subject.

I am in the same boat and I agree, however, I have QuickBooks desktop enterprise pro, and they charged me 2300 a year, I'm trying to downgrade and they offer me for $1,800 a year, but if I go downgrade or back date to a previous year I cannot have any of my data. I will be locked out of my data. My data I can't use reports or do anything. The lady even was ignorant enough to say that I cannot see my history of my payroll, I'm leaving for good, unless somebody from QuickBooks can resolve this issue, we should be able to turn off the subscription and continue to use our QuickBooks without all the features, like customer reports or payroll, I'm going broke and I need help but they could care less. Care less. Been a customer since 1993, I have probably spent 60 or 70 thousand dollars with QuickBooks
