Processed a customers credit card, it shows in my merchant account as processed and funded, but there is not a record of it in the customers account.  Where can I go to correct this and how do I correct it?

Hi there, chameleon01! Welcome back to the Community! I recognize how essential it is for customer payments to be visible in QuickBooks Online (QBO). You can count on me to guide you through the troubleshooting process to effectively manage your income accounts.

QuickBooks Payments automatically processes and categorizes customer payments (invoice in QBO will show as Paid under the Status column), allowing you to focus on growing your business and nurturing client relationships.

One possible reason you're unable to see a customer's credit card payment transaction could be that your browser has accumulated too many cached files. QuickBooks relies on the browser's cache to function efficiently, so clearing any outdated files can help improve your viewing experience and overall system performance.

Let's start troubleshooting by pulling up your QBO account using a private browser (incognito). Here are the keyboard shortcuts below:

  • Press Ctrl Shift (Google Chrome)
  • Ctrl Shift (Firefox)
  • Control Option (Safari)

Once signed in, go to the Sales menu to look for the payment and status of your sales entries.

If you're able to do so, return to your default browser and clear its cache. After that, you can restart your browser and log back into your QuickBooks Online account to refresh the system.

However, if this matter continues, I recommend clicking the browser's Refresh icon (please see the screenshot below) or using other supported browsers

Moreover, if your customer's payment still didn't sync with your invoice, it could indicate an issue with your account during the transaction procedure. I suggest you reach out to our Payments Care team for further assistance. They'll be able to investigate the problem and work towards a resolution.
