Reformatting a the estimate/invoice template to match a Excel Spreadsheet.

I'm a government contractor who just was awarded a contract. The client wanted us to reformat our our estimate and invoice template to match their Excel spreadsheet. Although we reclassified the line items, the formatting is what's challenging. Any recommendations of someone who can do this?

Hello there, @Rod35.

 

You yourself can easily reformat your estimate and invoice templates to match your client's Excel spreadsheet. I'll gladly show you how you can do this in QuickBooks Online (QBO).

 

QBO has a build-in tool to create attractive and professional-looking invoices and estimates. You can customize the layout of your sales form templates to match your client's spreadsheet depending on the version (old or new) of invoices and estimates you have.

 

If you have the new version of invoicing and estimates, you can update and personalize your forms as you’re creating them in QBO. Any customizations you make on the above-mentioned forms will apply to all existing and future invoices and estimates. To do this, here's how:

 

  1. Go to the Invoicing or Sales menu. Then, select the Invoices or Estimates tab.
  2. Select Create invoice or Create estimate to create a new form. Or to edit an existing form, select an invoice or estimate from the list and select Edit.
  3. To update your company info, select Edit Company. Make changes as needed, and then click Save.
  4. To add or remove fields, change the color scheme, or turn on payments on invoices, select Manage ⚙.
  5. Select a section like Invoice settingsPayment settings, or Deposits.
  6. Select the dropdown for each section to see customization options.
  7. Choose what info displays on your form by turning the switches on or off. Note: As you make changes, a preview displays on the form.
  8. Click Save.

On the other hand, in case you're unable to add some of the necessary fields you need or customize your invoices and estimates in QBO according to your client's format, you can opt to integrate a third-party application that can do it for you.
