Refunding only part of a credit card transaction through QB Payments

We overcharged a customer who paid by credit card. The payment has been funded and the invoice is paid in full. I want to refund $44.13 to his credit card - this is only part of the amount of the invoice.

I have already read this article on refunding payments

  1. When I get to #7 in the online article, it is unclear whether it will refund the entire amount, or give me another window that will let me enter the amount. I did not press OK in case it automatically refunded the whole amount. I do not want to refund the whole amount.
  2. I went to Merchant Service Center, found the funded transaction, and reversed $44.13.

 

2 Questions:

  1. For #7 in the directions, will it automatically refund the whole amount, or give me the chance to enter the partial amount?
  2. Because I did the refund in Merchant Service Center, will the credit that comes back automatically match up with the credit memo?

Hi there, @Maverick2. I appreciate you for getting back in this thread. I'll gladly answer your additional queries about refunding a customer in QuickBooks Desktop (QBDT).

 

Know that the returned credit will automatically match up with the credit memo if you've turned on the auto-match feature. It will also clear the balance that you have with your customer. If you haven't turned the auto-match feature on, you can still get through this by manually matching the returned credit to your credit memo. Also, please be aware that payments will be posted on the bank you've set in your deposit setting in QBDT.

 

If it turns out that you were not able to set QBDT to auto-match and record bank deposits, here's how you can turn it on:

 

  1. Go to the Banking menu and select Record Merchant Service Deposits.
  2. Select Change your deposit settings.
  3. Turn on the Auto match & record setting.
  4. Select Save.

Let me help you check if you can enter a partial refund, Maverick2.

 

In the Issue a Refund window, you can click the Refund amount field to check if you can enter a partial amount. If the system allows you to modify and enter a different amount, then follow step #7.

 

A credit memo will then appear on the customer's profile on your QuickBooks Desktop file.

 

If you aren't able to enter a partial amount, click Cancel to close the window. Then, process a refund outside of your QuickBooks company file. Here's how:

 

  1. Sign in to your QuickBooks Payments account.
  2. From the Processing Tools drop-down, select Reverse a Transaction.
  3. Fill out the necessary fields and select Search.
  4. Select the transaction you want to refund.
  5. Manually type in the amount you want to refund in the Amount field, then Submit.
  6. A new message will appear. You'll be asked to select Continue to process a full refund. If you'd like to submit a different amount, select Cancel. You'll then be prompted to enter a different refund amount. Select Continue.
  7. A receipt of the transaction will display on the screen. 
  8. Select E-mail or Print to get a copy of the receipt.

Thank you for that information. However, what is the answer to question #2 in the original post:

  1. Because I did the refund in Merchant Service Center, will the credit that comes back automatically match up with the credit memo?

 

Here's what is pending in my system. Will that -44.13 apply to the credit memo and zero out the customer's balance? Right now he has a -44.13 balance. See screenshot. Where does this go when it is recorded?
