Question

Removing a customers credit card from QuickBooks Online

I am trying to delete a credit card that was accidentally saved by a co-worker. The customer is very upset that his card number is saved in our system and wants it removed. I saw the option of entering a non transacting card number but that information must be out-of-date because it doesn't work. This seems like a HUGE problem and I am concerned about legal ramifications if this can't be done. Will someone please help?

I can see how this can be a great impact when sensitive information are stored unintentionally. Rest assured that we take your privacy seriously and is handled with care. At the moment, deleting credit card information isn't an option. I have a solution on what you can do about this, Krista22.

Once you save your credit card information, your only option is to edit them. With this, you can merge with a customer account that doesn't have any credit card details if using a non-transacting card did not work for you.First, you need to create a new customer account. To do this, follow the steps below:

  1. Go to Customers & leads, then select Customers.
  2. Click New customer.
  3. Fill in the same details as the original customer account except the Payment and billing info.
  4. In the Display name as field, add "1" at the end of the name. For instance:
    • Original account: John Doe
    • New account: John Doe1
  5. Click Save.

After that, rename and merge the original customer account with the new one. Here's how:

  1. Go back to Customers & leads, then select Customers.
  2. Choose the original customer account, then Edit.
  3. Again, add "1" to the Display name as field.
  4. Click Save.
  5. On the Please Confirm window, select Yes to merge the accounts. This will delete the original account that has the credit card info, which you’ll find in the deleted customers list.

Finally, you can now rename the merged account back to the original name. Check out these steps:

  1. Head back to Customers & leads, then select Customers.
  2. Select the new customer account, then Edit.
  3. Remove the "1" from the Display name as field.
  4. Click Save.

Additionally, you can also learn how to record a bill payment that was paid via your bank's website, EFT, ATM, or debit card. I've added this article for reference: Record A Bill Payment by EFT, ATM Card, or Debit Card.
