Update pricing to an existing estimate

We are a small company who uses QBE. We receive new prices from our supply houses daily and update our item database multiple times a week. Our question is does anyone know if QBE has a refresh button or a way to make sure updated item pricing reflects on current estimates? For example, if I completed a quote last week and this week the price for an item used in that quote changed costs, would QBE automatically update the price or do we need to manually make the change?

Hi, @Wilso418.  I can see you want to keep your pricing updated to reflect daily price changes from your vendors. This can be challenging if several items need to be updated. I'm here to help address your question about updating item prices on existing estimates and provide guidance to help make this process easier.

 

QuickBooks Desktop (QBDT) doesn't have an option to retroactively update item prices in existing estimates when those prices are changed. Once an estimate is created, it retains the prices that were in effect, and we'll need to update it manually.

 

To manage the updating of prices on your estimates, you can consider pulling up both Item Price List and Item Estimates vs. Actuals reports to follow through on which estimates need to be updated. Follow these steps to run both reports:

 

Item Price List:

 

  1. Go to the Reports menu.
  2. Choose Customers and Receivables.
  3. Select Item Price List.

 

Item Estimates vs. Actuals:

 

  1. Go to the Reports menu.
  2. Choose Item Estimates vs. Actuals.
  3. Set the date range to include only the estimates that need to be updated.
  4. Double-click on the Total Inventory amount. 
  5. This will open the Item Estimated Cost Detail report, helping you identify which estimates are linked to each item.

 

Once done, identify which estimates need to be updated based on the latest item prices through cross-referencing both reports. Memorizing these reports will also help ensure you have quick access to this information in the future.
