Question

Venmo invoice payments not auto recording

The first time I sent a batch of invoices in Quickbooks, I did not have a business Venmo account.  Some customers paid by Venmo, and it worked beautifully!  The payments were auto recorded and deposited to the checking account along with all other invoice payments (credit card, ACH, Apple Pay, etc.) through Quickbooks Payments.

Then I started a business Venmo account to accept payments for other things (not invoices).  I sent a second batch of invoices, and this time when customers paid by Venmo, the payments were not auto recorded in Quickbooks and were not included in the deposits with the other invoice payments in Quickbooks Payments.  Instead I received a notification from Venmo that the funds were in the business account.  I manually recorded the invoice payments and initiated the deposit from Venmo which is fine but not as easy and simple as last time I invoiced.

The first way of receiving Venmo payments for invoices is preferred since it's more automated.  Is there a way to switch back to the initial method of receiving Venmo payments instead of the second?  I don't remember entering any information about my Venmo account in Quickbooks after I set it up, so I was really confused that they were linked up.  I do not have the Venmo account set up in the Chart of Accounts nor do I have it feeding in or updating in Quickbooks in any way.

I can see how this transition affects you and how you run your business, nicole.

Navigating the integration of payment systems can sometimes lead to unexpected challenges, especially when changes are made to account setups. Let’s delve into how we can achieve this and clarify any confusion regarding the linkage between QuickBooks and the business Venmo account.

Certain features and functionalities of Venmo business accounts may differ from personal accounts, resulting in changes to how payments are processed and recorded in QuickBooks. With that said, I recommend contacting our Payments Team so they can explain and assist you further. This will ensure that your Venmo accounts are properly setup in QuickBooks Payments.

To reach them:

  1. Log in to your QuickBooks Online company.
  2. Click on Help (?).
  3. Select the Search tab, then Contact Us.
  4. Enter a description of your concern, then hit Continue.
  5. Choose a way to connect:
  • Start a chat with a support.
  • Get a callback from the next available support.

You can also check their support hours in this link to ensure availability.

I'm also adding this article if you want to know more about processing payments in Venmo: Use PayPal and Venmo with QuickBooks Online.

We’re here to support you every step of the way, so don’t hesitate to reach out with any questions or for further assistance!
