Question

Can I please have some advice on setting up a school-based apprentice in Quickbooks Intuit (Aust). There is 25% loading for each day he is at trade school? Thankyou

You can set up a pay category specifically for this employee, and apply loading to the category that will automatically calculate in the pay run for you:

  1. Select Employees from the left hand menu, then select the Payroll Settings tab.
  2. Select Pay Categories (located under Pay Run Settings), then select Add (top right)
  3. Enter the Pay Category Name, then select Add.
  4. Complete any relevant fields(eg paying Hourly, Daily etc, and enter the Rate Loading %) then select Save.

You can then link this to a rate of pay for the employee, and enter this into the pay run when required:

  1. From the main Employees page, click on the employee's name.
  2. Select the menu Pay Rates from the left, and locate the category.
  3. Enter in the base rate before loading. As an example, if you have entered a rate loading of 25% and the rate including loading is $25, you would enter $20. You will see the system calculate the amount including loading once you have entered this. Then, scroll down and Save. To apply the category:
  4. From within the pay run, select the employee's name to expand their details.
  5. Select their green Actions button, and choose Add Earnings.
  6. Select the Pay Category and enter the units as needed, then Save.
