How do I change an employee from casual to permanent in past pay runs?

Hi ameliastapleton,

 

This will depend on what you need to change within the pay runs themselves and where you need these changes to reflect. You can change the employee from casual to permanent on their employee details, but this does not affect historical pay runs where they were recorded and paid as casual employees:

 

  1. Go to the Employees tab and select their name.
  2. Select the Tax File Declaration menu on the left.
  3. Under Employment Type, edit as required, then scroll down and Save. You can also Lodge with ATO from here as well.

 

If you need to change previously finalised pay runs, you would need to unlock these and adjust them accordingly. As an example, if you have paid the employee using a Casual pay category and need to change this to Permanent Ordinary Hours, you can unlock the pay run and edit their earnings to reflect this change. If they were not accruing leave and you need to record this, you could do so with a Leave Adjustment on an ad hoc pay run; this will increase their leave balance without having to unlock previous pay runs.
