Hi jonomiers,

When it comes to managing your casual employees via Payroll, what in particular are you looking to manage? We would require more information of your end goal and what you are looking to manage overall. Are you look to organize them by different pay schedules? If so you can select the link here  to see how you can have multiple weekly, fortnightly and monthly pay schedules all running at the same time for different casual employees.

Depending on your QuickBooks Subscription, you are entitled to a number of free employee's in a billing month included, see below the inclusions based on your plan. I mention this as if you are currently below or meeting your staff inclusions per month you will not be charged any additional fees to either include or excluded certain employees depending if they worked during the month. Please see below the employee inclusions you are entitled to based on your QuickBooks Subscription:

  • Simple Start : Manage payroll - 4 staff included
  • Essentials: Manage payroll - 7 staff included
  • Plus: Manage payroll - 10 staff included

As you mentioned on the topic of pricing, KeyPay the third party software we use for payroll has it's own subscription plan which can add additional monthly billing whether you go over these employee inclusions. For example if you are on the KeyPay Standard subscription you will be billed AU$4/month per employee,  if your number of active employees go over your subscription staff inclusions. If the payroll subscription is on the KeyPay Plus , as you are entitled to rewards plans for employees and more reporting options, you will be billed AU$6/month per employee, regardless if you are above or below your staff inclusions. To find out what KeyPay subscription you are on you can see by steps below:

  1. Select the Employee tab
  2. Select Payroll Settings
  3. Then under the Business Management header,  select Subscription
  4. If you wish to change your subscription plane you can select, Change Plan.

If you are in a position where you are currently going over your employee inclusions and getting the additional AU$4 per month/per employee, you can follow the steps here to Terminate Employees and here  for steps on how to Reactivate Employees.

Hope this helps,
