Hello there, finance.

Let me shed some light on uploading your bank statement into QuickBooks Online (QBO).

When importing your bank data, the online program (QBO) can handle 3-column or 4-column formats.

The following details can be added to the file: Date, Description, Amount, Credit, and Debit.

After getting the list of your entries from your bank, make sure to fine-tune the file format to prevent any errors. You can perform the following:

  • Remove any zeroes (0) from the CSV file and leave those cells blank.
  • Take out any numbers that are displayed in the Description column.
  • Delete the word "amount" if it appears in the Credit or Debit column header. They should only read "Credit" and "Debit" without the word "amount."
  • Make sure the dates are in one format and recommend using: dd/mm/yyyy.
  • Mac users must save the file as a Windows CSV file.
  • Some banks add the day of the week in the Date column (for example, 20/11/2018 TUE). You need to remove the day of the week. To do this, split the date and the day of the week into separate columns:
  1. Open the CSV in Microsoft Excel.
  2. Highlight the column that contains the date.
  3. Go to Data then select Text to Columns.
  4. Follow the onscreen steps and select the following:
  • Original data type: Delimited
  • Delimiters: Space
  • Column data format: General

When you're ready, let's go ahead and upload your bank data. If your account isn't connected to online banking, follow these steps:

  1. Go to the Banking menu on the left panel and choose Banking
  2. From the link account drop-down select Upload from file.
  3. Tap the Drag and drop iconor select files and select the file you downloaded from your bank. Then select Continue.
  4. Select the account you want to upload the transactions in the QuickBooks account dropdown and press the Continue button to proceed.
  5. Follow the onscreen steps to match the columns on the file with the correct fields in QuickBooks.
  6. Tap the How many columns show amounts drop-down to choose Two columns and Continue.
  7. Select the entries you'd to bring into QBO and click the Continue button.
  8. Press the Yes button to confirm.
  9. When you accept your transactions, choose Done.

If your account is linked to the bank fees, see this article for detailed instructions: Manually upload transactions into QuickBooks Online. Proceed directly to Step 4

If you come across any issues bringing in your transactions into QBO, this article contains solutions on how to resolve them: Fix bank upload errors.

Once your bank data are added to the program, I recommend classifying them to the correct category type. This way, you can balance the account seamlessly.

Hi, I have a similar question.

I uploaded my bank statement and it recorded all debts and credits just fine. However, it added them only in Quickbooks balance for the bank.

Now it is showing actual bank balance as 0, since my bank doesn't offer direct connection to quickbooks online. How can I update the actual bank balance?

Thank you
