There's a feature in QuickBooks Online that allows you to send yourself a copy of the statements you send to your customers, admin342. I’ll guide you through the setup process using the information below.

Please know that retrieving or reviewing previously sent emails from QuickBooks is currently unavailable. Hence, consider communicating with your recipients to acquire the actual copy of these emails.

To ensure you receive a copy of the email when sending customer statements moving forward, you'll want to utilise the Email me a copy feature. Here's how to activate it from your settings:

  1. Select the Gear icon at the top right corner of your screen.
  2. Choose Account and Settings, then go to the Sales tab.
  3. Scroll down to the Messages section and click the Pencil icon.
  4. In the Sales form dropdown, choose Statement.
  5. Check the Email me a copy box, which is found below the Email message field.
  6. Click Save, then Done.

Moreover, it's essential to document customer payments as they settle their balances to maintain accurate records. To precisely link payments to their respective invoices, please refer to this article: Record invoice payments in QuickBooks Online.
