How do I include late fees in customer statements?

I need the interest to be calculated automatically for outstanding invoices, and to be shown on customer statements. please!

Hi powlagail,

 

Welcome to Community!  I'd be happy to provide you with more information on how to add interest to outstanding invoices and have it show on Statements in QuickBooks Online.

 

It's always a good idea to inform your customers about service fees prior to invoicing them.  You can manually enter a message on the invoice or include a Default one by following this link to Customize your forms. 

 

First you'll need to create a service fee item to add on the invoice.

  1. Go to the Sales menu and choose Products and services
  2. Select New.
  3. Choose Service.
  4. Give the fee a Name.
  5. Fill out the rest of the required fields
  6. Save and close.

To add the fee to an invoice you've already sent, you'll need to create a new invoice for the fee and send it to your customer.

  1. Click on + New
  2. Select Invoice
  3. Complete the required fields
  4. In the Product/Service dropdown, select the item you created
  5. Select Save and send or Save and close.

If you haven't sent the customer the invoice, you can add the fee as a line item by following these steps;

  1. Go to Customers tab in the Sales menu
  2. Find and open the customer's invoice.
  3. Add a new line item and in the Product/Service dropdown, choose the fee item 
  4. Select Save and send or Save and close.

To have the customer Statement show aging activity;

1. Click on the Gear icon > Account and Settings

2. Select Sales on the left panel

3. Hit the Edit icon to the far right of the Statements section

4. Turn on 'Show aging table at bottom of Statement'

5. Save and then Done

 

QuickBooks Online doesn't currently have the option for it to be applied automatically.  If this is something you'd like to see in the future, I'd recommend submitting a suggestion to our Product Developers who are always looking for ways to improve our Customer experience.  To do this, click on the Gear icon in the top right corner of your Dashboard and then Feedback.
