Question

I would like to create a report from an estimate to export it to Excel similar to an invoice

Currently, exporting it now has very limited fields. I need as many fields as one cane select with an invoice.

I brought this up last week with support case # xxxxxxxxx

Hey rhl,

Thank you for continuing to provide valuable feedback to our team. Every bit of feedback you send helps us focus our efforts on enhancing the features most important to you. I've taken a look at your case, and the workaround you were given is still the best way to get the information you're looking for. I'll be happy to pass along your feedback on my end, but in the meantime I'm confident we can improve on the way you're currently exporting this file.

As estimates are non-posting transactions, the best report to get a detailed list of them is Estimates by Customer. This can be customized to include most details entered on the estimate, but not a breakdown by line. To export a report with these additional details, please continue converting them to invoices. By using the power of custom fields, we can streamline this process. It's only a couple easy steps to make these invoices easy to keep track of:

  1. Click on the Gear icon then select Account and Settings.
  2. Head to the Sales tab, and add an additional Custom field (make sure it's only checked for Internal).
  3. When you create an estimate you'll need to export, enter something in this new field (make sure it's the same thing every time, like est).
  4. When you're ready to export, run your Estimates by Customer from the Reports tab.
  5. Click on Customize then Filter.
  6. Check the box for the Custom Field we just created, and type in the same thing you entered on the estimates.
  7. (Optional) Check Estimate Status or any additional filters you want.
  8. Click Run report to get a list of estimates with the correct information in our custom field. This allows you to easily see the ones you need to convert to invoices.
  9. Once you've converted these to invoices, run the Sales by Product/Service Detail.
  10. Select Customize then Filter by the same Custom Field.
  11. Export this report to Excel then delete the invoices.

To unlock the full potential of this custom field, you can input different things to categorize your estimates further (allowing you to export multiple reports with different invoices). For real-time assistance with this, feel free to reach out to an agent any time.
