Hi newtown67,

It's great that you were able to identify this error early on. Having an accurate history of your sales tax in QuickBooks Online goes a long in avoiding issues down the road. Occasional mistakes are unavoidable. QuickBooks is designed with a focus on giving you control over your books, so there are several options to make this correction. I'll be happy to help with this.

The approach to getting this resolved depends largely on where the error was made. If you selected the incorrect frequency, but you haven't filed yet, it's just a few easy steps to correct it:

  1. Head to Taxes and select Sales Tax.
  2. Click on Manage sales tax.
  3. For the tax agency in question, click the dropdown arrow next to Add rate
  4. Select Edit agency settings.
  5. Update the frequency as needed, then click Done.

You can also choose any period on your first sales tax return. Simply click Prepare return, then enter your desired Start and End dates.

We can also re-open filed periods to change the dates. There are a few things to keep in mind before using this option:

  • Only the most recent tax return can be unfiled. If you want to unfile an older return, all the subsequent ones will also need to be unfiled.
  • Exceptions will be lost. If you have no exceptions, that's great! Exceptions are typically caused by changes in a previously filed period. If you do have exceptions, you'll need to record an adjustment to include them manually. Exceptions in the period being refiled will be included as normal transactions, so I strongly recommend asking your accountant to make sure everything lines up.
  • We can't unfile a return with payments. If there are any payments or refunds, they will need to be deleted before we can cancel the tax return.

You'll still be able to view exception details after undoing a return, but the best practice is to save a copy beforehand:

  1. Go to Taxes then select Sales Tax (if you don't have payroll, it'll default to Sales Tax).
  2. In Returns, select Open & Filed from the All returns dropdown.
  3. In the Action column for the next return To file, select View exception details then print or export this report.
  4. Optional: Best practice is to also View exception details for the return you wish to cancel, as well as all subsequent returns.
  5. If the report contains no data, that's perfect! Just make a note of it. Otherwise take a screenshot or print the exception details.

Once that's done, you're ready to proceed. If you have an accountant that uses QuickBooks Online, they'll be able to cancel your tax return for you. You can easily invite your accountant as a user to approach this together. To search for a pro in your area, simply head to the My Accountant tab in QuickBooks Online then click on Find a pro to help. Alternatively, any of our agents would be happy to do this on our end.
