Question

Is it possible to add a line for outstanding balance to a customer transaction statement?

I want to send a customer an invoice transaction statement, outlining how much they paid for each invoice. However, when I make a transaction statement it shows the total received but not how much is owing for each invoice and for the full account. Is there a way to show that on the customer transaction statement?

Hello younis-nadeem,

Creating a statement for your customer is a fantastic way to let them know what they've paid and what they owe. Great job on working out how to create a Transaction Statement in QuickBooks Online, but I know of a statement that's better suited to what your customer would like to see.

When you hit the Create statement option from the Action column for your customer, you'll see a dropdown at the top of the page with the header Statement Type. You can choose between a Transaction Statement which you've already been using, an Open Item statement, and a Balance Forward statement. What you're looking for is the Balance Forward statement option. Select that option from the dropdown, choose your statement date and specify a start and end date, then hit Apply. By hitting Print or Preview along the bottom, you'll be shown exactly what the statement will look like when sent to your customer.

The Balance Forward statement shows how much the customer owes you, as well as what they've already paid in the form of Sales Receipts and Payments. It's broken down by transaction and shows both the amount of the transaction and the balance. Don't forget to hit Save and send or Save and close when you're satisfied with the statement you've created.
