Question

Is there a way to refresh a prior month's bank reconciliation report so the Register balance is updated? (So it matches the balance sheet balance?)

Hi @jenna8,

One of the greatest benefits offered by QuickBooks Online is how simple it makes bank reconciliations. The streamlined experience adds convenience and a level of automation, so you can save time balancing your books. There are a few different balances to keep in mind, and I'll be happy to go over them with you.

The three balances QuickBooks tracks for bank accounts are the following:

  • General ledger balance - This is the amount you'll see in most reports. Consisting of both reconciled and non-reconciled elements, it includes all transactions associated to the account in QuickBooks.
  • Reconciliation balance - This can be seen as your statement ending balance. It's entered when you reconcile, and encompasses transactions included on reconciliations up to the specific date.
  • Bank balance - Only for accounts connected to the bank feed. It shows the balance as it appeared on your bank's website the last time an update was made.

If your reconciliation and general ledger balances don't match, it's typically due to transactions before the statement ending date that haven't been reconciled yet (such as outstanding cheques). In some cases, it's caused by reconciled transactions after the ending date. If you've recorded cheques that haven't been deposited yet, it's normal to see a small discrepancy here. Otherwise, it could be indicative of duplicate or missing transactions. It's a good idea to regularly review non-reconciled transactions. This just takes a few easy steps:

  1. Go to Accounting and select Chart of Accounts.
  2. Find the account, then click Account history.
  3. Click the filter in the upper-left, and set Reconcile Status to Not Reconciled.
  4. Click Apply.

This shows all transactions that only affect the general ledger balance, making it easier to identify any problematic ones.

Let me know how this goes! I want to make sure your books balance.
