Hello rec2,

Thanks for reaching out! I know reporting is a big part of managing your books and when the information isn't quite right, that can cause confusion. I'm here to give you some suggestions on how to smooth that out.

Aging reports, whether you're looking at the Accounts receivable aging detail report or the Accounts payable aging detail report, should only show outstanding amounts. This means there shouldn't be any payment transactions showing there at all, but there is an instance when they might.

If you have an unapplied payment, that would show on the aging report because it's just a payment hovering in the system without a transaction to attach itself to. It could be that you created a payment without selecting a customer or supplier, or you applied a payment to a transaction that was later deleted. In both of these cases, the payment would appear as a sort of credit in the system to be used toward future invoices and bills.

What I recommend in this case is double checking these payments transactions to see if they're actually applied to anything. The easiest way to do this may be to go to the customer or supplier profile to see their related transactions.

It may take some digging to find out what happened, as well. It could be that you'll need to check in with team members that also use the account or you can also take a look at the audit log to see activity on your account. This article has more about the latter option: Learn about the audit log

I hope that helps! I'm here if you have further questions.

Have a great weekend!
