Question

We notice Quickbook creates a duplicate of our existing Estimates and Purchase Orders by itself. And will do this repeatedly several times. How do we stop this?

It's possible that these files were accidentally created by someone with access to your account, or you may have recurring transactions set up. To verify, we can check your Audit log, which keeps track of activities and changes made to your books in QuickBooks Online.

 

To access the Audit log, follow these steps:

 

  1. Sign in as an admin to access the audit log. Ask your primary admin if you don’t see it.
  2. Go to Settings ⚙ and select Audit log.
  3. Use the fields on the page to choose the appropriate UserDate, or Events filter to narrow the results.

 

This will show you 150 records at a time. For most transactions or events, select View in the History column to open the audit history.

 

If the duplicates are caused by recurring transactions, you can pause or delete them by following these steps: 

 

  1. Go to Settings and select Recurring transactions.
  2. Look for the recurring template, then click the Action drop-down list.
  3. Select Pause or Delete.

 

For duplicate transactions, here's how to remove them from your records.

 

For duplicate estimates:

 

  1. Go to Sales and click All sales.
  2. Look for the estimate, then select the drop-down list in the Action column and choose Delete.
  3. Select Yes to confirm.

 

For duplicate purchase orders:

 

  1. Go to the Expenses menu and select Expenses.
  2. Find and select the purchase order.
  3. In the Action column, select the drop-down list and then click Delete.
  4. Select Yes to confirm.

 

Additionally, you can run basic reports in QuickBooks to gain more insights into different aspects of your business.
