Question

Hey, I issued Sales Tax Receipts to our customers for 2020 however it counted them as sales and increased the balance so its way out of sync with our bank. Help

Hello mountainmunchkin,

 

QuickBooks Online is a great tool to help you calculate revenue from your customers as well as keep track of your bank accounts. It's vital to have all transactions entered correctly in order for your books to reflect the right balance. Don't worry, I can give you some guidance to point you in the right direction.

 

From what it sounds like, you've entered those transactions as Sales Receipts. These transactions are meant to represent a sale that has been paid the same day as the transaction. This would explain why both your sales and bank balance have increased as these transactions would be duplicate sales. What I recommend is to speak to your accountant as they can use their accounting knowledge to suggest the best way to balance your accounts out, whether it be to remove those transactions or create an adjusting journal entry. If you wish to add your accountant as a user to your account, you can navigate to the My Accountant tab in the left column, then enter their contact info to send an invite. In the future, if you want to send a list of transactions to a customer for sales tax purposes, you can send them a statement. This is just a summary of the transactions done within a certain period of time and won't create any money movement to sales accounts and your bank in QuickBooks. You can create these by going into the Sales in the left column, and then Customers. Select one of your clients in the list by clicking on their name,  then once you're in their profile you can navigate to New transaction in the top right and select Statement. Select Transaction statement in Statement type and choose your date range before sending it to your customer.
