Hi there,

It's awesome to hear you're using QuickBooks Online to manage your books. QuickBooks' system is designed with a powerful sales tax center to help you produce accurate returns and record your HST payment or refund effortlessly. I'll be happy to assist you with this.

To prepare your return in QuickBooks Online is just a few steps:

  1. Select Taxes from the left menu.
  2. Ensure Sales Tax is shown at the top. (Tip: If you use payroll in QuickBooks Online, you may need to select Sales Tax as opposed to Payroll Tax).
  3. Next to Sales Tax at the top, find the tax agency associated with the return you'd like to prepare the return for using the drop-down.
  4. On the Filings tab, select Prepare return beside the next return you need to file.
  5. Check the dates populated in the Start date and End date fields. Note: QuickBooks Online automatically adds the dates of your most recent sales tax period, based on the payment schedule for the CRA. If necessary, you can change them, but remember that your payment schedule is set by the CRA. You can't change the dates just for your own requirements.
  6. Review the lines of the sales tax return, with the balance owing (or refund due) at the bottom.
  7. To see individual transactions, select the dollar amount.
  8. To make an adjustment to a line on the sales tax return, select Adjust

Once you're done preparing your HST return, you can now submit it online to the Canada Revenue Agency (CRA). To assist you with that, check out this useful article: File sales tax

After submitting your return, you can finally record your payment to or refund from the CRA in your QuickBooks Online account. Here's how to do that.

  1. Select Taxes from the left menu.
  2. Ensure Sales Tax is shown at the top.
  3. Next to Sales Tax at the top, find the tax agency associated with the return you'd like to prepare the return for using the drop-down.
  4. Choose Filed from the All returns drop-down.
  5. Select Record payment from the drop-down in the Action column.
  6. Select the appropriate Payment type. Tip: Select Payment if the number is positive and Refund is if the number is negative.
  7. Enter the Payment date, or the date which you paid the CRA.
  8. (Optional) Use the Memo to include anything you want to remember about this payment.
  9. Once you make the payment, you'll see it in your Account History under the date you recorded the payment.

I hope this helps! Let me know how it goes.
