Can anyone tell me why my estimates all of a sudden are now pending? This hasn’t happened before

Let me help you change the status of an estimate in QuickBooks Online (QBO), andyb2302.

We can take some troubleshooting measures to resolve it. There are instances when the browser is clogged with regularly requested website resources, resulting in odd behavior while using QBO. Let's begin by viewing your account from a different or private browser. Here is a list of shortcut keys you can use to access one:

  • Ctrl+ Shift + N for Google Chrome

  • Ctrl + Shift + P for Mozilla Firefox

  •  and Microsoft Edge

  • Command + Shift + N for Safari

Then, we can change the status of an estimate. Here is an overview of the status:

  • Pending: Estimate is created. Has not been accepted by the customer yet. No invoice has been created from the estimate yet.
  • Accepted: The estimate is marked as accepted by the customer and you can start invoicing based on it. (If an estimate is in PENDING status and you click Create an invoice, it will auto-change the estimate to Accepted.
  • Closed: The estimate is closed and you cannot create an invoice from it. This will happen automatically once you invoice for everything that's on the estimate. You can also mark an invoice as closed instead of rejected if you have not heard back from your customer.
  • Rejected: The estimate is closed and you cannot create an invoice from it.

You can find the estimate in the Sales menu and change its status there. I'll show you how:

  1. Log in to your QuickBooks Online account.
  2. At the left panel, select Sales.
  3. Choose the All Sales tab.
  4. Search and open the estimate.
  5. On the Estimate page, click the Pending drop-down menu.
  6. Select the Pending drop-down and then choose the status of your Estimate.
  7. Once done, press Save.

If it works, go back to your regular browser and clear its cache. This is done to speed up the process the next time you do a transaction in QuickBooks Online. Also, an alternative way is to use other compatible browsers.

I'm also bookmarking this page for future use. If you need to add an estimate to an invoice in QuickBooks Online, this will walk you through the procedure. Furthermore, learn how to run reports and customise them to get the information you need: Customise Reports In QuickBooks Online.
