Can I apply a discount to a specific line item on an estimate and NOT the whole estimate ?

I have customers who receive specific product discounts depending on quantity. I do not wish to apply discount to the whole estimate or invoice.

Thanks for posting your concern today. I'll provide some insight and steps on how you can add a discount per line item in QuickBooks Online (QBO).

 

Yes, you can apply a discount with fixed prices to your estimates or invoices. However, please note that you can only use this method for whole amounts, not percentages. To achieve this, you can add it as a line item to your sales forms that include a description of what the discount is for.

 

Let's start by creating a discount item:

 

  1. Go to Settings ⚙ and then Products and Services.
  2. Click the New button, then select Non-stock or Service for the type.
  3. Enter the name “Discount” in the Name field. If you want to create multiple discount items, give each discount a unique name so they're easy to tell apart.
  4. In the Sales price/rate section, enter the discount as a negative amount. Keep in mind that this is an amount and not a percentage.
  5. From the Income account ▼dropdown menu, choose the Discounts given account that QuickBooks created when you turned on the discount setting.
  6. Select an appropriate tax rate so that the discount is nontaxable.
  7. Once done, select Save and close.

 

After that, you can now proceed to add the discount item to your sales form. Here's how:

 

  1. Click the + New button, then select InvoiceEstimate, or Sales receipt.
  2. Add your products or services in the Product/Service column.
  3. Then, add the discount item you just created in the Product/Service column. You can adjust the discount if you need to, just make sure it's a negative amount.
  4. Fill out the necessary details of the form.
  5. Select Save and send or Save and close when you're ready.

That is a very time consuming way of applying discounts to line items. I have some customers who for example get 5% on everything and some others who get 5% then special pricing on certain items. In Sage Line 50 I can change the discount % amount for each line item very easily in a Sales Order or Invoice. The method you describe means for a line item I have to manually calculate the amount for each line item. Not really very user friendly ! The only other way round it for me is to do 2 estimates or invoices. 1 for special price items and one for discounted items. Not a good solution.

Is this a function Quickbooks will consider adding as myself and many others have written about it time and time again. It is important and really crazy that we cannot do individual discounts per line item. Please consider fixing this...
