Question

Can I save a draft invoice to be sent at the end of the month?(without it showing as owed/not due yet?)

I bill monthly and want to avoid doing all the invoices in one go, so would like to add a weekly attendance to the ivoice and then send at month end. What I currently do is save as new invoice but it shows as owing.
Is there a draft invoice option that can be stored ready for approval and send later..?

I understand the importance of having a draft invoice option that can be stored ready for approval and sent later, mark478_uk.

In QuickBooks Online, you can use the Estimate feature to provide your customer with a quote, bid, or proposal for planned work. This form resembles an invoice but serves to notify the customer about the proposal and expected costs without showing it owed/not due. Once you're ready to bill them, you can easily convert it to an invoice, eliminating the need for duplicate data entry.

Here's how to create the transaction:

  1. Go to + New, then select Estimate.
  2. Under the Customer dropdown, choose a customer. Or, to enter a new customer, click + Add new, enter the customer info, and hit Save.
  3. Select the dropdown in the Product or service field and add the items.
  4. If you saved a rate, it automatically displays in the Amount column. Add or adjust the quantity or amount as needed.
  5. When you're ready, click Save and close.

Once done, convert an estimate to an invoice once you're ready to bill your customer:

  1. Go to Sales and select All sales.
  2.  Find the trasnaction.
  3.  In the Action column, choose Convert to invoice.
  4.  Make any necessary edits to the invoice.
  5.  When you're ready, hit Save or Review and send the invoice to your customer.
