Can't find all sales receipts to match to 1 bulk shopify payout.

Hi there.

 

We launched a small Shopify business last week and now sales are coming in there are a few issues:

1. Currently am syncing shopify to quickbooks. Sales are recorded as sales receipts and synced to undeposited funds.
2. And shopify transaction fees synced as cheques which are paid immediately by our GBP account.. and synced to a shopify fees expenses account.

QUESTION : Having problem matching shopify payout deposit from banking feed to sales receipts.

This could be because:
1. Sales receipts are in different currency ($ usually) to payout deposit (GBP). This is because our store currency is in $ but our payout currency is GBP. But it shouldnt be a problem because there is a 'foreign currency' button we chose.
2.The payout is a bulk payout comprised of multiple sales receipts.
3. The sales receipts that form that payout are a higher total because the payout is after the shopify fees were deducted.

One solution is to EXCLUDE the banking deposit ... but i'd rather not and find out how to actually match the receipts to the deposit.

I attached a screenshot.. only 1 of the receipts shows from the undeposited funds list.

 

How can I get to see all of the sales receipts showing in the match transaction list??


NOTE:this is the deposit from the banking feed and not a manual deposit.

Very very annoying.

Hi there, @justtall. I'd be happy to help you match your Shopify transactions to your bank feeds in QuickBooks Online (QBO).

 

There are two ways to record your Shopify sales. You can either create a Journal entry or a deposit transaction to combine multiple sales receipts and fees.

 

First, take note of the amount and the date before doing any of the processes you prefer to do. Getting a report from Shopify would be also handy when comparing data.

 

Now, since you've mentioned that the sales have been synced to the Undeposited funds let's proceed to create a deposit. I've layout the steps below:

 

  1. Select the + New button at the upper-left part of the QBO page.
  2. Click on Bank Deposit.
  3. Enter the details and select Save and close.

 

Then, go to the Banking page and check the transaction, it will show a notification that there is a matched transaction. Click Match to finalize the process.

 

If you want to create a Journal entry, you need to create accounts in the Chart of Accounts related to the sale such as income, other current liabilities, cost of goods sold, and other current assets.

 

I'd also recommend speaking with an accountant to make sure that the credit and debit are balanced to avoid getting errors in the future.
