Question

Extra-budgetary procurement

We have recently adopted QB. We’re a charity in the U.K. can a user submit a request to spend money outside of budget? And/or has anyone set up a code for these to be posted against for later approval and reposting?  We’re looking at setting up an extra budgetary expenditure request form but would prefer if it is managed within the QB system rather than paper form. Thanks so much!

Hello @LucyLord,

Welcome to the Community! I'm here to clarify information regarding the feature you need related to managing expenditures in QuickBooks Online.

I can see you're new to the product and need some assistance with the features. Being able to request to spend money outside of budget or set up a code is unavailable.

You're unable to set up an extra-budgetary expenditure request form in QuickBooks. I recommend visiting our App Center to check for an integrated third-party application that offers budgeting service (see screenshot below). We can't suggest a specific app, but you can check the overview for more details.

Having these features within the product would be a great addition that would benefit most users. As we assess this, I encourage you to submit feedback to our product engineers.

They constantly improve QuickBooks and consider suggestions coming from the users. Here's how:

  1. Click the Gear icon in the upper-right corner.
  2. Select Feedback under Profile.
  3. Share your feedback.
  4. Hit Next to submit.

Most businesses create budgets to compare against their actual sales and expenses. I've attached a link you can visit to review and adjust budgets and run financial reports to compare your sales and costs with your budget: Create budgets in QuickBooks Online.

Don't hesitate to reach out if you have more questions about using QuickBooks or the feature availability. The Community and I will be around for you. Have a great day ahead.
