Question

Hello there, I want to get my invoices ready and assign them to be sent on a specific day and time - like "send later" in emails. How do I do this?

I am busy like every one of you and would want to create invoices in advance and then assign a date and time for them to be sent to the customers - so that all my invoicing work is done early in the morning before starting work.

In QuickBooks Online (QBO), we have Recurring transactions, where you can create a recurring invoice and schedule it to be sent on a specific day. We'll write down the steps to get you going:

 

  1. Access your QuickBooks Online company.
  2. On the top-right corner, click the Gear icon.
  3. Under Lists column, select Recurring transactions.
  4. Click the New button and then in the Transaction Type, select Invoice.
  5. Enter all the needed information.
  6. Choose the product or service you want to include inside the template.
  7. Click the Save template button once done.

To use the template you created earlier, you'll want to go back to the Recurring Transaction page and select the recurring invoice template. Here's how:

 

  1. On the top-right corner, click the Gear icon.
  2. Select Recurring transactions.
  3. Locate the recurring invoice template you created and click the Dropdown arrow beside Edit.
  4. Select Use.
  5. Review details inside the invoice, and then click Save and send once you're ready.
