Hi !

I work for a catering business who buys from Asda Online, each time you order food or add to the food order it takes out the amount there and then so there could be three or four transactions to one receipt including credit refunds due to the products not being delivered.

Please can someone tell me how I match these transactions to one receipt ?

Many thanks in advance !

Hi there, @MossE.

Currently, the option to match multiple bank transactions to a single transaction in QuickBooks isn't available. To get this resolved, you'll want to clear the sales receipts you recorded within QuickBooks and exclude the downloaded bank transactions. Let me guide you through the process.

First off, let's exclude the downloaded transactions you want to match to a single sales receipt. Here's how:

  1. Sign in to your QuickBooks Online (QBO) account.
  2. Click Banking from the left menu.
  3. Select the bank account from the list.
  4. In the For review tab, select the transactions you want to match.
  5. Click Exclude.

Once done, you'll have to manually clear the sales receipts from the Bank register.

  1. Click Account from the left menu, then select Chart of Accounts.
  2. Find the bank account and click View register.
  3. Locate and select the sales receipt.
  4. Under the reconciliation status column indicated with a checkmark, repeatedly click the box until it displays the cleared ( ) status.
  5. Click Save.

I'm adding this article to learn more about matching bank transactions: Categorise and match online bank transactions in QuickBooks Online.

Once everything is set, you can proceed with reconciling accounts in QBO. This is to ensure your bank and credit card statements match in QuickBooks.
