How to I add invoices for company setup costs before I had quick books or a business bank account? I would like this money back in the form of a directors loan payment

I have steps to record your director's loan payment in QuickBooks Online, @Matthew11_2. And happy to outline the detailed steps to achieve your tasks.

 

We need to use Journal Entries rather than invoices when recording the director's loan payment. Because invoices can be used for customer receivables, using Checks, Bills, or Expenses will use the company's accounts payable.

 

If you're the company's director, let's set up the loan account if you haven't done so. This way, we can categorize the transaction accordingly. 

 

Go as follow: 

 

  1. Go to Gear and select Chart of accounts.
  2. Choose the New tab.
  3. Complete the following fields:
  • Account Type: Non-current liabilities
  • Detail Type: Shareholder Notes Payable
  • Name: [Director's name] Loan Account
  • Description: This is optional but helpful in tracking the account's purpose

       4. Enter the amount in the Unpaid balance, then pick a date. 

       5. Hit Save and Close

 

Once done, let's record the payment for a loan by creating a Journal Entry. Let me show you on how: 

 

  1. Go to the +New menu and choose Journal Entry
  2. Add the company's bank account in the first line, where the payment will come. 
  3. Under the Credit column, enter the amount. 
  4. In the second line, pick the director's bank account you previously created. 
  5. In the Debit field, type the same amount.
  6. Click Save and close.

 

To track your loan payments, directly go to the Account history in the Chart of Accounts. See the sample screenshot below for more reference:
