How to show monthly standing orders as deposits received on the invoice? and How to match monthly standing order with the invoice?

I have an idea on how we can set up your standing orders, farooq1.

 

We can set up a recurring template for the received deposits. Note that the Recurring Transactions feature is only available in QuickBooks Online Essentials, Plus and Advanced subscriptions. You can upgrade your subscription if necessary.

 

Here's how to create the received deposit so we can use it for your invoices in the future:

  1. Click the Gear icon in the upper-right corner and select Recurring transactions.
  2. Click the New button and select Deposit as the Transaction Type.
  3. Click OK and enter the Template name.
  4. If you want to recur it in the future, you can select Scheduled in the Type field.
  5. In the Account field, select the bank account where you want to deposit the amount.
  6. Enter the Interval, Start date, and End of the recurring template.
  7. Go to the Add funds to this deposit section and enter the customer name in the RECEIVED FROM column.
  8. Select Debtors (Accounts Receivable) in the ACCOUNT column.
  9. Enter the AMOUNT and click Save template.

When you create and save the invoice, the deposit will show applied as payment automatically if the Automatically apply credits option is turned on.

  1. Click the Gear icon in the upper-right corner and select Account and settings.
  2. Select the Advanced tab and go to the Automation section.
  3. Turn on the Automatically apply credits option.
  4. Click Save and Done.

If you don't want to turn on this option, you will see the deposit under Credits when you pay the invoice.

  1. Click the + New button in the upper-left corner and select Receive payment.
  2. Select the Customer and enter the necessary details.
  3. Mark the invoice you want to pay under the Outstanding Transactions section.
  4. Mark the deposit under the Credits section.
  5. Click Save and close.

Note that you can also set up a recurring template for the invoice if you want to.

 

If you're using the Banking page, you only need to Match the bank transaction to the invoice or the invoice payment.
