Question

I have just noticed that the first 3 invoices I have created are missing. It looks like invoices older than 12 months from today's date are just gone. Is this normal?

Isn't QuickBooks storing all invoices ever created? I hope that is not the case because I want my subscription money back if my invoices just disappear!

QuickBooks will keep all transactions in your account unless they're deleted, mihail-popa.

 

There are a number of steps that will help us double-check what happened. Let's start by making sure the date is not sorting out old transactions. Here's how: 

 

  1. Go to the Sales menu and proceed to the All Sales tab.
  2. Click the drop-down list for Filter.
  3. Select Invoices under Type, then select All dates under Date.
  4. Click Apply.
  5. You might need to click Next in the lower-right hand corner of the page to see the rest of the transactions. 

You can also run the Invoice List report and customise the date so you can see old transactions. Here's how: 

 

  1. Go to the Reports menu and look for Invoice List.
  2. Go to the Report period section and select the invoice date if the missing transactions.
  3. Click Run Report

If you can't see them at all in the reports, the transactions might have been accidentally delete. You can go to the Audit Log report to verify if that is the case. Here's how:

 

  1. Look for Audit Log in the Reports menu.
  2. Click the drop-down list for Filter and select All Dates in the Date filter.
  3. Select Show only these events under Events, then check the Transactions box.
  4. Click the drop-down list for Show, then select Deleted/Voided Transactions.
  5. Click Apply.
  6. Review the report if you can see the missing invoices. The Event column will also say if the transactions were deleted or voided.
